Wedding Planner vs. Venue Coordinator (Part 2)

In addition to assisting you with all the services listed above that an on-site venue coordinator can do, we’ll also attend your wedding rehearsal and work with your officiant or minister to rehearse the processional, ceremony outline, and recessional and we’ll review the wedding day arrival time and locations with the bridal party. We’ll help you with the distribution of final payments and gratuities to your vendors (if you wish to do that on the wedding day), we’ll also collect small decor items and have them for you on the wedding day if your venue does not have storage capacity.

On the wedding day, your wedding planner and assistant (s) will be on-site for up to 10 hours, we’ll check in with you and your fiancé throughout the day to ensure your needs are met, questions are answered and the day is happening according to your desires. we’ll supervise the ceremony and reception load-in and setup with your vendor team, we’ll set up small decor items and details including wedding favors, ceremony candles, wedding programs, guest book, toasting flutes, cake serving set, card box, place cards, escort cards, table names or numbers, menu cards, and seating charts.

We provide a wedding emergency kit that will be on-site for the wedding day. It contains many items needed to fix emergencies or necessities that may happen on the wedding day!

On your wedding day, we’ll also assist with a line-up of the wedding processional, including grandparents, parents and the bridal party; we’ll cue the ceremony musicians and direct the individuals involved in the ceremony processional, we’ll move small decor items to the reception location after the ceremony (if needed).

During the reception, we’ll work closely with the venue, catering team, DJ or band, and the photo and video professionals to ensure accuracy of upcoming events. This includes coordination of the grand entrance, first dance, parent dances, toast, cake cutting, bouquet toss, last dance, grand exit, and any other events that are scheduled to take place (all of which an on-site venue coordinator will not do).

At the end of the reception, we’ll oversee reception clean up including collection of personal items as the guest book, toasting flutes, cake serving set, and extra stationery items. We’ll also work with your designated person to put wedding gifts and personal items into their car or other on-site location. Briefly, we’ll provide exceptional assistance and personally coordinate your wedding day!
