It’s important to understand the difference between a wedding planner and an on-site venue coordinator. It’s common for some venues to refer to their on-site coordinator as a planner, which can cause confusion. Booking a venue with an on-site coordinator doesn’t guarantee wedding planning services. Although some tasks may overlap between the two roles, a wedding planner covers more ground in the planning process.

The venue coordinator’s job is to look out for the venue. This person is an employee of the venue. Present to provide all necessary setup agreed upon in the contract such as tables, seats, meals, beverages, etc. They don’t cue your wedding party at the reception and they don’t run the ceremony rehearsal with you and your bridal party. They also ensure you abide by the rules they have established.

“Unless you’re in the wedding industry, the differences between the two aren’t commonly known” By Summer McLane.

Wedding coordinator

Consider a day-of coordinator package as a cost-effective option. This provides an on-site coordinator who will oversee the event on your big day. From setup to tear down and coordinate the entire event. Is your event on schedule? Is there a need to shift events in the timeline to cover a delay in another area, such as catering? Do vendors have all they need to perform well? It’s important to note, however, that there are limitations to the services provided by the on-site coordinator. This allows you to make an informed decision for your planning process.

Venue coordinator

When your event is in a single location, it helps to have an on-site coordinator to set up event sites. They can help with arranging food (if provided), suggesting vendors, organizing guest accommodations (if needed), and planning the room set-up. Remember that on-site coordinators’ services may differ depending on the venue, like a wedding planner.

On-site venue coordinators represent first and foremost, the venue.

planning Meaningful Celebrations since 1995

One of my earliest memories of event planning was helping organize my mom's 40th birthday party when I was a teenager. It was an intimate celebration at home, and I loved being involved in every detail - baking a cake together, creating a guest list, choosing decorations, etc. It wasn't just about the planning; but also about sharing meaningful moments with her and seeing how the little touches made the day feel so special. That experience sparked my passion for creating heartfelt celebrations that bring people together.
